Set on a quiet pond and surrounded by aspens and towering pines, the ceremony site feels completely removed from the rest of the world. Guests cross a wooden footbridge, take their seats, and are met with uninterrupted views of the Gore Range rising behind the ceremony site.

There are no buildings in sight and very few reminders of anything beyond the mountains. It is private, scenic, and distinctly Colorado.

Getting to the Wedding Island

The Wedding Island sits about a half of a mile from the main clubhouse. Guests are driven to a nearby cul-de-sac and then walk roughly 0.16 miles on a paved community bike path through an aspen grove to reach the island.

Because the path is paved, most footwear works well. However, the walk does include a gradual incline and may feel more strenuous for anyone adjusting to altitude or with mobility limitations.

Luckily, the venue provides an eight-passenger cart and chauffeur for the wedding party, photographers, and guests who need assistance. For larger groups, transportation requires multiple trips, so it is wise to build extra time into your schedule.

Since this is a shared community path, you will likely pass cyclists and pedestrians along the way. It is all part of the mountain setting, but planning for a few small pauses and being mindful of small children helps everything flow smoothly.

The Light Situation From a Photographer’s Perspective

Because of the wedding island’s orientation, afternoon light typically sits behind your guests rather than in their eyes. This allows them to stay comfortable and relaxed. Although this is a benefit to your guests, it can create a tricky lighting situation for your wedding party

At the front of the island, two large trees frame the ceremony space. On bright days they can create pockets of sun and shade across the faces of anyone standing next to the couple. When a full wedding party remains up front, those shifting highlights can become noticeable in photographs.

What has worked beautifully for many couples is allowing the wedding party to stand for the processional and opening moments, then inviting them to take a seat. The focus returns to the two of you, the mountains open up visually, and the images feel cleaner and more timeless.

No Power on the Island

There is no electrical power on the Wedding Island. If you are planning amplified sound or live music, your vendors must come prepared with fully charged, battery-operated equipment. Weather Considerations for a Vail Golf Club Wedding

Summer afternoon storms are common in the Colorado mountains, and they can appear quickly. Because the ceremony and reception are not in close proximity, a thunderstorm on the Wedding Island means your guests are exposed until shuttles can loop back. Come prepared with umbrellas. If weather prevents the ceremony from happening on the island altogether, the backup plan is the covered outdoor porch area at the clubhouse.

Ground Conditions

The Wedding Island is part of a high alpine natural landscape, and the grass can struggle to grow due to heavy foot traffic. As a result, bare patches of dirt are not uncommon. I recommend checking the status of the island a few weeks before your wedding. If the ground conditions concern you, Some couples choose to bring in a runner or rugs to soften the look and protect attire.

A few important notes on this: the venue does not allow stakes in the ground (the grass is fragile), so instead, use weighted options along the sides. Avoid thin fabrics that tear easily or light colored fabrics that are easily susceptible to dirt marks. A heavier rug or layered rugs are the typically the best option.

The venue installed a small section of turf at the altar area at the end of 2025, which helps the front of the space. However, the aisle itself can still be a challenge.

From a logistics standpoint, this is the simplest option. Guests move effortlessly from ceremony to cocktail hour, restrooms and the bridal suite are immediately accessible, and there is no need to coordinate transportation or allow extra travel time in your timeline. This also alleviates the stress of protecting guests from afternoon thunderstorms as they can easily duck inside if needed.

The lawn still delivers beautiful scenery, with eastern and southern views of the Gore Range, and it can be an excellent fit for couples who want a streamlined experience or are hosting their wedding during months when the Wedding Island is not available.

From a pricing perspective, choosing the lawn rather than adding Wedding Island access can also reduce the overall venue investment, since island packages typically include extended access time and additional transportation services.

In the winter, this lawn and the covered patio become the primary outdoor ceremony options.

The Gore Range Room is the heart of a Vail Golf Club wedding reception. Specifically, it is a 2,700-square-foot modern banquet space with soaring ceilings, exposed wood beams, and a wall of floor-to-ceiling windows that frame the Gore Range mountains. At sunset, when the light shifts and the mountains catch color, the room becomes something truly special.

What’s Included

The Gore Range Room buyout includes the banquet room, the Krueger reception room, the banquet patio and ceremony lawn, tables, chairs, white table linens and napkins, the bridal suite, and eight on-site parking spots. The room comes with built-in TVs and wireless internet. Your Group Sales Manager can arrange a dance floor, cocktail tables, and other rentals.

Flexible Layouts for Your Vail Golf Club Wedding Reception

The room accommodates up to 160 guests and offers multiple layout configurations. For example, a typical setup with 18 round tables and a 16×16 dance floor seats around 146 guests. Layouts with a head table for the wedding party, multiple bars, or a live band are all possible. Your Group Sales Manager will work with you to customize a floor plan that fits your vision.

The Patio and Cocktail Hour

Cocktail hour typically takes place on the covered patio and ceremony lawn just outside the Gore Range Room. This is one of the best parts of the venue. Your guests are outdoors with mountain views, lawn games, and drinks from the bar, all while the covered patio protects them if an afternoon shower rolls through. It creates a relaxed, social energy that transitions seamlessly into the reception.

To really maximize the outdoor space, some couples choose to share their first dance on the ceremony lawn before moving inside. This does requires strategic coordination of sound equipment with your DJ ahead of time, but it is well worth the extra effort for the dramatic mountain backdrop.

The Vail Golf Clubhouse Wedding Bridal Suite (An Honest Take)

The bridal suite at the Vail Golf Club is small and has no natural light. I would not recommend using it as your primary getting-ready space for photos. Instead, think of it as a storage room and a place for quick touch-ups. It does have mirrors and some furniture where you can relax and hide from guests as they arrive, which is genuinely useful on the day. For actual getting-ready photos, I strongly recommend starting your morning at a nearby hotel or Airbnb. You’ll have beautiful light, more space, and a more relaxed atmosphere.


Light, Timing, and Photography Strategy

This is where having a local Vail photographer who knows this venue becomes essential. The Vail Golf Club sits in a valley, which means you lose direct sunlight significantly earlier than the actual sunset time. We’re talking an hour or more before true sunset, depending on the time of year because the surrounding mountains block the sun well before it actually sets.

How to Plan Your Vail Golf Club Wedding Photo Timeline

Plan to take your couple’s portraits and wedding party photos early in the day, while you still have good light. Use the window between when the sun disappears behind the mountains and when the sky starts to turn colorful for dinner and your reception. Then, pop back outside near the actual sunset time for a final round of photos. Even without direct sun, the sky at sunset can be absolutely stunning.

If you are lucky, the towering Gore Range peaks sometimes turn bright pink with alpenglow as the final light hits their summits. This moment is fleeting and breathtaking. It happens most dramatically in the fall when warm light hits the golden aspen leaves covering Vail Mountain. It is a photographer’s dream when it comes to the beauty of Vail Valley.

The Aspen Grove

The aspen-lined path to the Wedding Island is a gorgeous spot for first look, couples portraits, and wedding party photos before the ceremony. It is especially beautiful in the fall when the leaves are at peak color, but equally stunning in summer when the leaves are bright green. Because it is a public path, you will share it with bikers and pedestrians, but the backdrop is worth it.

Be sure to coordinate transportation to and from this location if you plan to take photos here before the ceremony. You will need to be driven from the clubhouse to the cul-de-sac. Then you will have to arrange a ride back to the clubhouse while guests arrive. After everyone is seated, you will head back to the Wedding Island for ceremony.

In short, this location isn’t one that your photographer can spontaneously choose on the day of. This is where local expertise really shines in being able to build and communicate a detailed plan ahead of time.

The Ceremony Lawn / Club House Gardens

This is a great place to take family photos or portraits before the ceremony, while guests are arriving at the wedding island. There is a nice turf section just off the southern patio where cocktail hour takes place that gives you variety of photo options regardless of the timing and lighting on your day. On overcast days, you can shoot with the Gore Range in the background. On sunny days, the aspen-covered mountain and manicured garden behind your subjects create beautifully backlit photos.

The Vail Golf Club Wedding Island

This location is best used for photos after the ceremony because of the timing and logistics involved. If you have any large, extended family photo groupings, it’s easiest to gather that group right after the ceremony before everyone disperses. Then while guests make the walk back to the shuttles, you can hang back for a few couples photos to celebrate that “just married” feeling.

The Golf Course at Sunset

You may see inspiration photos taken on the golf course itself, but this is not advised during the day because it is a fully operational course. I recommend keeping this to couples-only shots rather than bringing larger groups out there for that reason. Plan to build in a bit of buffer time to wait for golfers to pass.

Beyond the Venue: Vail Mountain and the Village

One of the biggest advantages of a Vail Golf Club wedding is the proximity to Vail Mountain. If you’re willing to purchase a chair lift ticket, you can take your first look or couples portraits on top of the mountain for the most dramatic views in the valley. As a Vail local photographer with a season pass, I can do this at no additional cost other than your time. You can also take photos in Vail Village before heading to the venue. This gives you both sweeping mountain landscapes and charming European-inspired town architecture in the same gallery.

If you plan to use the Vail gondola on wedding day or for weekend activities, summer operations typically run daily from mid-June through early September. After that, expect Friday through Sunday only through the end of September, which means that this is only an option for summer weddings. These dates shift slightly year to year, so always confirm with the resort directly.


Best Time of Year for a Wedding at Vail Golf Club

Peak Fall: Late September to Early October

This is the most sought-after window at the Vail Golf Club, and for good reason. The aspen trees that surround the venue, line the path to the Wedding Island, and blanket Vail Mountain turn a vibrant, electric gold. Warm light filtering through those leaves during late afternoon is one of Colorado’s most beautiful natural wonders.

To catch the aspens at peak color, I recommend booking the last weekend of September or the first weekend of October. These two weekends are arguably the most popular of the entire Colorado wedding season, so plan to book both the venue and your preferred vendors well in advance. The leaves typically begin to thin into the second weekend of October and may be gone entirely after that.

Summer: June Through August

Summer weddings at the Vail Golf Club offer lush green landscapes, wildflowers, long daylight hours, and warm (but not hot) temperatures. June is when the aspens first leaf out, and by July the valley is fully green and vibrant. Summer also gives your guests the most options for weekend activities. Think hiking, biking, golfing, rafting, and exploring the villages.

The trade-off is afternoon thunderstorms, which are common from June through August. They usually pass quickly, but you need a plan B in place for your ceremony (the covered patio).

Late Spring: Late May to Early June

Late May marks the beginning of peak season pricing, but the landscape can be hit or miss. In the mountains, after a good snow year, May is often what locals call “mud season.” The snow is melting, the foliage has not yet bloomed, and the mountains appear brown. The aspens typically start to leaf out the last weekend of May or first weekend of June. If you are booking in this window, be prepared for the possibility that the surrounding landscape won’t have its full green, colorful glory.

The Vail Golf Club does host winter weddings, and for the ski-loving couple, it is a fantastic option. Being so close to Vail Resort means you can get married surrounded by snowcapped mountains, lean into a cozy après aesthetic (think fur coats, hot toddies, fuzzy earmuffs), and celebrate the next day with a ski lap in your wedding attire. Keep in mind that the Wedding Island is not available in winter, so your ceremony would take place on the clubhouse lawn or covered patio. You would also need to rent outdoor heaters separately, as the venue does not provide them.

For the 2025-2026 ski season, Vail opened November 14, 2025, with a projected closing of April 19, 2026.

When to Avoid: Mud Season

I recommend avoiding the gap periods between seasons: mid-October through mid-November and mid-April through May. Activity options are limited and the landscape is in transition, often providing a muddy landscape.

Overall, for the most photogenic results, book your Vail Golf Club wedding between June and early October. The aspen trees truly make or break the beauty of this venue’s surroundings, and that window gives you the best chance of a lush, colorful backdrop.

Because the on-site bridal suite at Vail Golf & Nordic Clubhouse is small and does not have natural light, your getting ready location plays a major role in how your morning feels and how your photos look. A comfortable space with good windows, room to spread out, and easy transportation can completely change the energy of the day.

Below are my favorite hotel options, organized by area.

Vail Village

Sonnenalp is a five-generation, family-owned European-style resort and Michelin Key Hotel recipient, making it the best of the best in Vail Village. The European architecture, cozy interiors, and polished service make it a beautiful choice for couples who want a refined, romantic start to the day. It is also walkable to everything in town. Because of the price point (starting around $340/night off-peak to $1,000+/night peak ski season), many couples choose it for their own suite rather than for a full guest block. It also doubles as one of Vail’s most popular high-end wedding venues.

Manor Vail Lodge offers a more relaxed, condo-style setup while still keeping you right in the village. It is a solid mid-range option if you want extra space or hope to host a farewell brunch onsite. It is also a wedding venue option for small, intimate celebrations.

Gravity Haus Vail is a modern, upscale mountain concept that combines a hotel with a restaurant, coffee shop, gym, and coworking space. It is especially fun for couples who want a lively home base within walking distance of Vail Village, but it has limited rooms, so it can be tricky to book for a larger group.

Lionshead Village

The Hythe is a favorite for photography. Many rooms have expansive windows and mountain views, which create beautiful natural light for hair, makeup, and detail photos. It also sits steps from the gondola and the center of Lionshead, making it extremely convenient for guests. You will pay a premium for it, but if your budget allows, it is worth every penny. The Hythe also offers on-call shuttle service to take you anywhere you need to go.

The Arrabelle at Vail Square feels grand and elegant, with a European resort atmosphere and a central plaza location. It works well for room blocks and keeps everyone within walking distance of restaurants and activities within Lionshead Village. This area also doubles as a popular wedding venue.

Four Seasons Resort and Residences Vail is a consistently strong luxury choice for couples who want high-end amenities and reliable service. The interiors are clean and upscale, which translates beautifully in photos.

The Ritz-Carlton Club is known for elevated service and a more private residential feel. It is a strong option if your priority is luxury and space.

Vail (Broader Area)

Grand Hyatt Vail is a more affordable choice for a room block and larger groups . They offer condo-style options where your entire wedding party can get ready together, and pricing can be friendlier than properties in the village core (starting around $200-400/night depending on season). It is located about a mile and a half from Lionshead, so you will need to arrange transportation into town. There is a free bus system that runs through the valley, but it does require some coordination.

Avon (Near Beaver Creek)

The Westin Riverfront Resort & Spa provides a full resort experience with mountain views, a spa, and generous room sizes, but the trade-off is distance. Expect about a 15 to 20 minute drive to Vail, and plan transportation accordingly. Thankfully the hotel does offer a shuttle service for smaller groupings, which helps with coordination. Many couples like pairing their stay here with events in Beaver Creek as the nearest mountain town. Winter wedding guests can take the free gondola on-site right to the mountain for ski-in ski-out accessibility

If you are hosting a rehearsal dinner, Stoke & Rye is a popular on-site restaurant with well-loved cuisine.

Eagle River Inn is a charming boutique property outside the main resort areas. It may not fit a full room block, but it can be a lovely and more affordable choice for a quiet, comfortable getting ready environment. It’s loved for its bright, natural light, and adorable suites.

A Smart Money-Saving Tip Most Couples Miss

Before you book, check whether your credit card offers travel programs with hotel perks.

Luxury properties like the Four Seasons or Ritz often participate in programs such as American Express Fine Hotels + Resorts or similar collections through Chase and Capital One. Depending on the card, you might receive benefits like daily breakfast, late checkout, room upgrades, or resort credits. These are not traditional discounts, but they can add significant value to your stay.

If you or a family member has hotel loyalty status, it is also worth exploring whether booking within that system provides better perks than a standard reservation.

A Note on Airbnbs

Airbnbs are great for groups who want extra space, but they can make transportation more complicated. Since guest shuttles are required for weddings at Vail Golf Club, having everyone centralized at one or two hotels is often easier.

Rideshare availability in the mountains is limited compared to major cities, and services like Uber or Lyft are not reliably available. Encourage guests to pre-plan return transportation rather than assuming a car will be waiting at the end of the night.

Of the areas mentioned, Vail Village is the most lively for an after-party. If your group wants to hit the bars after the reception wraps, staying within walking distance of the village makes that seamless.


Transportation and Guest Logistics For Your Vail Golf Club Wedding

Transportation is one of the most critical planning details for a Vail Golf Club wedding. It is also the area where I see the most stress when couples do not plan ahead.

Why You Need a Shuttle Plan

The clubhouse has only eight parking spots available for weddings, so you must provide transportation for all guests to the ceremony site and back to the reception. This is non-negotiable. Your Group Sales Manager can help arrange shuttle logistics according to your timeline. To avoid confusion, I highly recommend working with a local transportation company experienced with the venue.

How It Typically Works

For a Wedding Island ceremony, guests are shuttled from their hotel to the cul-de-sac near the island, then walk the final stretch. After the ceremony, shuttles loop guests back to the clubhouse for cocktail hour. At the end of the night, shuttles return guests to their hotels.

Build in Buffer Time

Ask guests to arrive at least 30 minutes before the ceremony. If the couple plans to take photos on the bike path or Wedding Island before the ceremony, start heading back to the clubhouse about an hour early. This avoids being seen by arriving guests. Your photographer may also need a separate ride to stay at the island for detail shots of the ceremony setup before guests take the space.

The Importance of a Coordinator for a Vail Golf Club Wedding

Because of the split locations between the clubhouse and the Wedding Island, the transportation logistics, and the multiple moving pieces on wedding day, I strongly recommend hiring a wedding planner or day-of coordinator who knows this venue. Someone who understands the space and has a confident game plan will make the difference between a seamless day and a stressful one.

Peak Season (May 22 – October 11)

Additional Costs to Plan For

All peak season Saturday weddings require a $10,000 food and beverage minimum. The Town of Vail charges a 9.4% sales tax on food and beverage, plus a 4.5% sales tax on the venue fee and rentals. On top of that, a 22% service charge applies to all food and beverage purchases. You will also need to provide a $500 compliance deposit and a $500 damage deposit 30 days before the event. Both may be refunded 30 days after. Cake cutting and service runs $6 per person.

The Gore Range Room comes with 10 hour access, while the Wedding Package with Island includes 12. You can purchase additional hours for $250 per hour, but all events must wrap by midnight.

Booking Terms

To secure your date, a 50% non-refundable venue fee is due at the time of booking. The remaining balance plus deposits are due 30 days before the event. If you cancel, you forfeit the 50% non-refundable venue fee.


What to Know Before You Book a Wedding at Vail Golf Club

Alcohol Policy

The venue does not allow outside alcohol on the property. You must purchase all beverages from the Vail Golf & Nordic Clubhouse. This is a Colorado state liquor law requirement.

Decoration Restrictions

Open flames, sparklers, helium-filled balloons, confetti, glitter, birdseed, and rice are all off limits. You are responsible for removing all decorations immediately after the event. Anything left behind may be thrown out and could cost you your compliance deposit.

Ceremony Chairs

The venue buyout fee does not include ceremony chairs. You will need to rent these through an outside vendor.

The Catering Team

Chef John Zavoral leads the in-house culinary team. He has deep roots in Italian cuisine from years working at restaurants throughout the Vail Valley. The team prioritizes fresh, locally sourced Colorado ingredients and even maintains on-site garden plots. Their custom-built smoker produces outstanding smoked meats that can elevate your menu. Couples who prefer everything to happen in one spot with minimal logistics may find this challenging.

Design flexibility is another consideration. Because the property is operated by the recreation district, certain décor elements such as open flames, confetti, and outside alcohol are not permitted. For some couples this is no issue, while others may feel restricted.

Finally, if your vision depends on vibrant green summer foliage or peak golden aspens, pay close attention to your date. Late fall and early spring can look very different from the postcard version of Vail.

One of the most common requests I get from couples planning a Vail Golf Club wedding is help building their day-of timeline. Because of the split location between the clubhouse and the Wedding Island, the shuttle logistics, and the way the light works in this valley, timing matters more here than at most venues. After photographing multiple weddings at this venue, here is a sample timeline that accounts for all of the moving pieces.

This timeline is based on a peak season Saturday with a Wedding Island ceremony, and assumes you are getting ready at a nearby hotel. Adjust the specific times based on your ceremony start and the time of year (sunset ranges from roughly 7 PM in late September to 8:30 PM in late May).

Morning: Getting Ready (7:00 AM to 12:30 PM)

Hair and makeup should start early. For a wedding party of 8 to 12 people, plan for 5 to 6 hours. Your photographer typically arrives about 30 minutes to 1 hour before hair and makeup wraps to capture detail shots (dress, rings, florals, invitation suite) and getting-ready moments.

Key details to plan for during this window: coordinate a dress reveal with bridesmaids, schedule any parent first looks at the hotel, and make sure someone packs all personal items for transport to the venue. You will not want to run back to the hotel after you leave.

Early Afternoon: Travel, First Looks, and Formal Photos (12:30 PM to 3:30 PM)

Leave the hotel at least 45 minutes before your first look time. This allows for traffic, parking coordination at the venue, and a buffer in case anything runs behind. If your wedding party is splitting into two groups, coordinate departure times so no one is seen who should not be.

The first look typically happens on the aspen-lined bike path near the Wedding Island or at another private location at the venue. Allow 15 to 30 minutes for the first look itself (depending on if you’d like to include private vows) and 15 to 30 minutes after for couples photos. Then move into wedding party and family photos. These can happen on the island, the bike path, or the turf area near the clubhouse patio. Allow 30 to 45 minutes for wedding party photos (depending on if you hire a second photographer) and 15 to 30 minutes for immediate family depending on list length. After photos, the golf cart shuttles the couple and wedding party back to the clubhouse. Your photographer may stay at the island for detail shots of the ceremony setup before guests arrive.

Mid-Afternoon: Guest Arrival and Ceremony (3:30 PM to 4:30 PM)

Guest shuttles should depart the hotel 45 to 60 minutes before the ceremony. For 100+ guests coming from multiple pickup points, plan for multiple shuttle vehicles. Guests walk the final stretch from the cul-de-sac to the island through the aspen grove and across the footbridge. Ask guests to arrive and be seated at least 30 minutes before the ceremony starts.

A typical ceremony on the Wedding Island runs 20 to 30 minutes. Once the recessional concludes, shuttles begin looping guests from the island back to the clubhouse for cocktail hour. The couple may stay on the island briefly for a few post-ceremony portraits, then take the golf cart back.

Late Afternoon: Cocktail Hour (4:30 PM to 6:00 PM)

Cocktail hour on the covered patio is one of the best parts of a Vail Golf Club wedding. Guests enjoy mountain views, lawn games, and drinks from the bar. This is also the window where the marriage license is typically signed. If your photographer is shooting family formals after the ceremony, plan those for the first 15 to 30 minutes of cocktail hour so you can join your guests as soon as possible.

During cocktail hour, the planning team will finish flipping the Gore Range Room for the reception. Detail photos of the reception setup typically happen at the end of this window, just before guests move inside.

Evening: Reception (6:00 PM to 11:00 PM)

Guests are invited inside, and the couple makes their grand entrance (live music or a DJ announcement). Welcome toasts happen first, followed by dinner service. After dinner, additional toasts, cake cutting, and parent dances lead into the open dance floor.

Build in a 15-minute break between dinner and toasts to step outside for sunset photos. The timing depends on your wedding date. For a late September wedding, plan sunset photos around 7 PM. For a late May wedding, you can push this closer to 8 PM.

Return shuttles should begin running 1.5 to 2 hours before the end of the event. Keep at least one shuttle looping continuously for the final hour. All events wrap by 11 PM, and breakdown should be complete by 12 AM.

Venue fees for 2026 range from $2,900 for an off-peak weekday Gore Range Room rental to $9,900 for a peak weekend Wedding Package including the island. Additional costs include catering (with a $10,000 food and beverage minimum on peak Saturdays), sales taxes, a 22% service charge, $500 compliance and $500 damage deposits, and rental items like ceremony chairs and a dance floor.

What is the weather like for a Vail Golf Club wedding?

Summer (June through August) brings warm days in the 70s and 80s with a high chance of afternoon thunderstorms that typically pass quickly. Fall (September through early October) offers crisp days in the 50s to 70s with the most stable weather and the best fall foliage. Can I have a live band at my Vail Golf Club wedding?

Yes. The Gore Range Room can accommodate a live band. The Wedding Island also allows acoustic and amplified sound, but remember there is no power on the island, so all equipment must run on batteries.

How far in advance should I book?

For peak fall weekends (late September through early October), I recommend booking 12 to 18 months in advance. These dates fill fast. Summer weekends should be booked 9 to 12 months ahead. Off-peak and weekday dates have more availability.
